We are currently seeking a Brokerage Assistant to support the Combined Landlord Agency and Tenant Representation Team. Provide administrative support under the direct supervision of a combined landlord agency and tenant representation team, comprised typically of three to four brokers, but this number may fluctuate based on staffing needs and business conditions. The Assistant will often handle details of a confidential nature and is responsible for prioritizing projects to meet deadlines in a fast-paced, team-oriented environment.
BROKERAGE ASSISTANT - Atlanta (Buckhead), GA
Responsibilities:
Tenant Representation Activities
- Prepare and distribute marketing materials/packages including maps, aerials, team marketing pieces, flyers, and submarket updates, market analyses, etc.
- Active liaison with marketing department.
- Prepare market surveys, tour books, proposals, summaries, abstracts and other relevant documents as needed.
- Coordinate/manage mailings.
- Team with DocuCenter as needed.
- Create mass email campaigns via Exact Target, CRM, etc.
- Manage process of distribution, list updates and activity reporting.
- Process and submit leasing deals and proposals.
- Manage the workflow and approval process for leasing deals.
- Produce lease status reports, as needed.
- Assist team with preparing and updating client-specific reports.
- Contact internal and external resources for information used to create surveys and reports used to win/maintain business.
- Assist and participate as needed for industry functions or client events.
- Work with appropriate contact to maintain intranet/extranet sites for client and property purposes.
Principal Accountabilities - Landlord Agency Activities
- Specific landlord agency duties will include interactions with the landlord client(s) in the preparation of flyers, brochures, and other marketing materials that are produced by JLL; and in coordinating broker marketing events. These activities are conducted in conjunction with JLL's marketing department and the assistant will serve as the primary liaison between the JLL broker team, the landlord client, and JLL's marketing department
- With broker supervision, prepare responses to leasing and property purchase RFPs and coordinate the process of finalizing the responses and delivering them to the prospect's broker or directly to the prospect.
- Assist broker listing team with the preparation of marketing reports for the landlord client.
- It is expected that the assistant will have direct contact with some of the brokers representing prospects and will request updates from them.
- Create and maintain stacking plans as required.
- Manage listing services.
- Work with Costar as well as other databases to maintain accurate information.
- Use Loop net to post/research real-time information for available properties. Utilize Businesswise for lead generation, research, etc.
- Coordinate sign installation.
Principal Accountabilities - General Activities
- Support brokers in utilizing Outlook, CRM / Sales Lite and other, data entry and maintenance for the purposes of direct marketing and client relationship development.
- Database creation and management as needed.
- Research (prospect, client, etc.) via online, offline and third-party resources.
- Serve as a resource for research and internal databases.
- Provide research and industry-related news, as needed.
- Active liaison with research department.
- Prepare and execute expense reports on a regular and timely basis.
- Mail reports with receipts to corporate accounting group.
General Administrative Tasks
- Prompt and consistent attendance as required by the job.
- Provide support to team in technology applications, i.e. Dealio, CRM, Outlook, Word, and other company supported programs.
- Coordinate and attend meetings - record, type and distribute minutes as needed.
- Create and maintain filing system and efficient information retrieval system.
- Schedule appointments and coordinate calendars.
- Perform clerical duties to include photocopying, mailing and faxing documents.
- Produce timely and accurate of word-processed documents (reports, memos, proposals, charts, agreements, PowerPoint presentations, etc.)
- Assist other teams, disciplines or business units, when required.

Requirements:
- Bachelor's Degree or commensurate experience required.
- Workplace experience, minimum of 4 years in administrative support role - real estate background is preferred.
- Georgia Salesperson real estate license a plus.
- Advanced Microsoft office product knowledge - Excel, Word, PowerPoint, and Outlook.
- Experience with mapping software (MS Streets & Trips, Street Atlas, Google Earth, etc.) a plus.
- Adaptability - Maintain effectiveness in varying environments, tasks and responsibilities, or with various types of people.
