Office Manager & Executive Assistant

We are a well-established, privately owned company in a regulated healthcare/medical environment seeking a high-integrity Office Manager & Executive Assistant to support senior leadership and oversee day-to-day office operations.

KEY RESPONSIBILITIES
• Serve as Office Manager overseeing daily office operations, staff coordination, and administrative systems
• Act as Executive Assistant to Senior Management, including:
– Calendar and deadline management
– Task tracking, reminders, and follow-up
– Helping leadership stay focused, organized, and on point
• Manage internal policies; understand quality system documentation
• Familiar with light bookkeeping, expense tracking, and coordination with accounting
• Assist with marketing and communications projects, including:
– Social media posting, blog writing
– Canva or similar graphic design tools
– PowerPoint presentations
– Research and content support for physician- and patient-facing materials
• Learn and communicate medical/healthcare product information accurately and clearly
• Maintain databases, files, and records with exceptional attention to detail
• Interface with leasing companies, banks, physicians for invoices, payments • *Maintain strict confidentiality at all times
REQUIRED SKILLS & EXPERIENCE
• Prior experience as an Office Manager, Executive Assistant, or similar senior administrative role
• Strong organizational skills—both personal and in supporting others
• Excellent computer skills (Microsoft Office, Excel, PowerPoint, databases)
• Comfortable in a regulated or quality-driven environment
• Able to manage high-pressure periods calmly and use quieter times productively
• Strong research and written communication skills
• Excellent follow-up habits—nothing slips through the cracks
• Professional with people, warm but not chatty; no drama
• Able to juggle varied responsibilities and shift focus easily
