We are looking for an Order Production and Accounting Coordinator. We need a strong candidate to step into the workflow as an Order Production Coordinator and complete the workflow by executing the accounting functions once the client's orders are shipped and ready to bill. We want to also find the right candidate that will eventually grow up through the business and want to take on new and exciting roles as we grow.

Daily Tasks Include But Are Not Limited To:

• Check Mail Daily, First Thing In The Morning
• Load Inbound Orders On Leader Board
• Place All Orders With Supplier Partners
• Confirm All Orders Once Placed With Supplier To Confirm Receipt
• Match Up All Acknowledgements and Verify Pricing And Charges From Vendors
• Request Proofs From Vendors
• Confirm and Communicate All Proofs To Clients & Sales Team For Approval
• Request Prepayments and Check Payments Per Order Cycle
• Run Credit Card Deposits and Payments
• Learn and Understand Artwork; Adobe Illustrator, Learn how to apply knowledge to proofs and changing artwork
• Review Order Status Daily To Ensure Orders Will Reach Clients By Deadlines Noted On Purchase Orders
• Request and Track Shipping Confirmations And Relay To Both Clients & Sales Team
• Request and Review Final Invoice From Supplier And Ready File For Billing
• Bill Client Upon Final Invoice From Supplier In Quickbooks
• Ready Bills For Payment, Credit Card Matching to Receipts For Payments Monthly
• Assist In Answering Inbound Phone Calls
• Sign and Distribute Daily UPS, FEDEX, and mail
• File Monthly Paperwork For Government Agencies
• Client Statement Generation and Dispersal
• Paperwork Matching For Monthly GL Coding To Reconcile Bank and Checking Accounts
• Handle All UPS Recording Of Client Charges and Filing Paperwork In The System
• Load Payables System With UPS Bills
• Perform General Bookkeeping Tasks, Ready Checks Payment, Accounts Payable, Accounts Receivable

Minimum Qualifications:
• 2 or more years in direct promotional products or related industry, a bonus
• 2 or more years related experience in an office environment or equivalent combination of education and experience
• Excellent Comprehension skills, Takes Notes, Can Follow Procedures, Self-Think When Needed
• Fluency in MS Office (EXCEL, WORD) and a real bonus for fluency in Adobe Creative Suite 3 thru 6 (Illustrator, InDesign, Photoshop, Acrobat)
• Familiar with QuickBooks and a real bonus for fluency in the program
• Detail-oriented and highly organized
• Excellent communication and interpersonal skills with clients and vendors
• Ability to work well with others in a fast-paced, team-based environment
• Self-motivated to achieve team goals and build relationships with clients and vendors
• Able to adapt quickly to computer applications
